Communications, Consultation and Reporting

One of the systems management areas in any business as mentioned earlier is the communication and the capturing of such information by way of reporting, this area is often not addressed well and is sometimes utilised in a similar fashion.

Communication can be done in several ways;

Systems and Procedures

Systems and Procedures take many forms, from the over arching management Policies, System Structure, Standards, Rules and Procedures down to the shop floor level plans and procedures such as Work Permits and Work Method Statements. PJC has all these areas covered, they can work with each site or department an see that they have systems and procedures in place that are adequate acceptable and relative to the process at hand. PJC has worked across all these areas from the working floor to the corporate structure systems.

PJC can show existing systems structures or can develop one tailored to your needs and requirement. PJC can further value add in this area by seeing the systems and procedures are acceptable and usable at the front line too. Procedures need to be owned and also need to be relative to persons who are to carry out the works inline with those procedures. PJC is not about giving you a nice set of standards and procedures to file on the shelve, they are there to see that they are developed in consultation with stakeholders and communicated understood and followed.

Like all systems and procedures there needs to be provision in both the systems and processes to accommodate change, whether it be related to the people, processes, equipment or environment. Higher Hazard tasks or High Risk Works needs to have additional controls to accommodate this increased level of risk and as such not only should the procedures be more robust but cover the planned actions in caring out the works as well as the emergency response and preparedness areas as well.

Assessment, Auditing/Review

To stay in front of the game you need to know “what is there” and “what is missing”, “the gap” as they say. We are able to assist your business to not only measure your effectiveness in this area but find those gaps that may be present but not yet known. Many businesses already have an audit / review process documented they often find that achieving this requirement within the scheduled review period is hard to keep on top of.

We can offer a service where this auditing and/or review can be done with assistance from PJC personnel who are equally qualified and competent in this area. We will report back to you with the findings of the system or process while you tend to the day to day business activities.

Along with these scheduled systems process audit and review requirements we can come to site and conduct independent spot audits, be they announced or unannounced. This further adds to the maturity of your safety management approach, taking it from reactive to proactive where you can be in front of the game instead of being driven by it.
